Please read below the booking procedures and financial requirements on facility rentals prior to completing the Facility Rental Request Form.
Booking Procedures:
- Facility booking requests must be submitted via the Township of Southgate Website or in person at the Township of Southgate Municipal Office. Accuracy of times requested must be completed and billing will be based on the times requested.
- Facilities are booked in four (4) hour time blocks, set up and clean up are expected to be requested at the time of booking. Additional set up time and clean up time may be requested at the time of booking. Events requiring more usage time must book multiple blocks and include specific time of arrival and departure.
- Annual events may be booked one (1) full year in advance of the date, provided the booking is reconfirmed 3 months in advance of the contract date. Failure to reconfirm the booking will negate the contract.
- Amenities requested/required must be submitted at the time of booking.
- Sports field requests must be forwarded to the Recreation Department at the time of booking the event.
Financial Requirements
- The lessee shall pay the full rental fee and sign a facility rental agreement to confirm bookings in advance of the event. All fees and charges are billing in accordance with the Fees and Charges By-law
- Bookings made less than thirty (30) days in advance must pay in full at the time of booking
- Annual events must pay thirty (30) days prior to the event
- The Municipality will only hold a booking inquiry for one (1) week
- Financial obligations not met will negate the rental
- Only the premises as specified on the agreement are made available to the lessee
- The lessee must pay SOCAN fees, which grant permission to play or perform copyrighted music publicly, if applicable to the event.
- The lessee agrees to free the Township of Southgate from any other facility expenses incurred in connection with the event.
- If the rental is cancelled thirty (30) days prior to the event, the fees will be refunded in full. If the rental is cancelled less than thirty (30) days prior to the event, the Township of Southgate will retain fifty percent (50%) of the fees paid. If the rental is cancelled less than seven (7) days prior to the event, the Township of Southgate will retain one hundred percent (100%) of the fees paid. Cancellations due to weather and road closure fees will be refunded.
